These terms govern your use of RPTrainor services. By using RPTrainor, you agree to these conditions.

Service scope

RPTrainor provides AI-powered financial management services for single-member LLC owners and their accounting professionals, including transaction categorization, personal vs. business spending separation, budget tracking, and report generation for client-accountant advisory meetings.

Financial Data

Plaid account connectivity

RPTrainor uses Plaid Inc. to connect to your financial accounts. By connecting an account through Plaid, you:

Authorize RPTrainor to retrieve account balances and transaction history from your connected financial institutions via Plaid.
Acknowledge that Plaid's own terms and privacy policy apply to the data connection. See plaid.com/legal.
Understand that you may disconnect any account at any time through Plaid Portal or by contacting RPTrainor.

AI Processing

Consent to AI-powered analysis

By using RPTrainor, you consent to the following:

Your financial data (account balances and transactions) will be analyzed using Anthropic's Claude AI to provide categorization, spending insights, and report generation.
Anthropic acts as a data processor on RPTrainor's behalf and does not use your data for AI model training.
Only the minimum data necessary for each analysis is transmitted to the AI service, over encrypted channels.
You may withdraw consent for AI processing at any time by contacting RPTrainor, though this will limit service functionality.

Data sharing with your accounting firm

If your RPTrainor account is associated with an accounting or tax preparation firm, you consent to sharing reports and categorized financial data with that firm for the purpose of advisory meeting preparation. You may revoke this access at any time by contacting RPTrainor.

Client responsibilities

Provide accurate and timely financial information required for services.
Connect financial accounts through Plaid and maintain active connections for continued service delivery.
Review reports and raise questions promptly with your concierge.
Maintain secure access to your accounts and communication channels.
Notify RPTrainor promptly if you suspect unauthorized access to your account or data.
Use RPTrainor services in compliance with applicable law.

SMS Communications

Text messaging terms

RPTrainor is invitation-only and does not send unsolicited SMS. Onboarding begins when you submit an access request via rptrainor.com or by email. After your request is reviewed and approved, you receive a single invitation SMS with a link to an activation page where you must (a) explicitly check a consent box accepting these SMS terms and (b) verify your phone with a one-time code before any further messages are sent.
By submitting your access request and completing the activation flow above, you consent to receive service-related SMS messages from RPTrainor delivered via Twilio.
Message types include the activation invitation and verification code, account balances from Plaid-connected accounts, budget progress, transaction alerts, tax-strategy summaries, and meeting-prep reports. RPTrainor does not send marketing or promotional SMS.
Message frequency is up to 60 messages per month based on account activity. Frequency can be adjusted by discussing your preferences with your concierge.
Message and data rates may apply. Standard carrier charges from your mobile provider apply to all SMS communications.
Reply STOP at any time to opt out of SMS communications. Reply HELP for assistance with your SMS settings.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data is not shared with any third party for those purposes.
SMS consent is optional and is not a condition of using RPTrainor's other services. If you decline SMS, contact us by email to discuss alternative delivery channels.

Privacy & Security

Your data is protected under our Privacy Policy and Security Policy .

Limitations and liability

Service insights are provided for informational support and operational planning; they do not constitute professional accounting, tax, legal, or financial advice.
RPTrainor does not guarantee specific financial outcomes, tax savings, or profit increases.
You remain responsible for business decisions and final review of submitted records.
AI-generated categorizations and analyses are best-effort and should be reviewed for accuracy.

If any term is unenforceable, remaining terms continue in effect.

Account termination and data deletion

You may terminate your RPTrainor account at any time by contacting us. Upon termination:

All connected financial accounts will be disconnected via Plaid.
Your financial data will be deleted from our systems within 30 days, subject to legal retention requirements.
Data that has been shared with your designated accounting firm prior to termination is subject to that firm's own data retention policies.

Policy updates

These terms may be updated as services evolve. Material changes will be communicated via email or through your RPTrainor concierge. Continued use after updates constitutes acceptance of the revised terms. For questions, contact us at ryan@rptrainor.com .
