Privacy Policy
This policy explains how RPTrainor collects, uses, and protects your information while delivering AI-powered financial management services for single-member LLC owners and their accounting professionals.

Information we collect
- Contact details and account information you provide during onboarding (name, email address, phone number).
- Financial account data retrieved via Plaid, including account balances, transaction history, and account metadata, only from accounts you explicitly connect.
- Messages, files, and preferences shared with your RPTrainor concierge via SMS, email, or other agreed channels.
- Basic technical usage information (device type, access times) used to improve reliability and security.
Financial Data Access
Data retrieved via Plaid
When you connect your financial accounts through Plaid, we retrieve the following data with your explicit consent:
- Account balances (current and available) from your connected financial institutions.
- Transaction history, including amount, date, merchant or payee, and transaction type.
- Account metadata such as account name, type (checking, savings, credit), and institution name.
You control which accounts are connected. You may disconnect any account at any time through Plaid Portal or by contacting us. Plaid's own data practices are governed by the Plaid End User Privacy Policy .
How we use information
- Deliver AI-powered financial management services, including transaction categorization, personal vs. business spending separation, budget tracking, and report generation.
- Prepare reports for both you and your accounting or tax preparation firm to support advisory meetings.
- Send client-requested updates, reports, and service communications via SMS, email, or other agreed channels.
- Support account security, fraud prevention, and platform integrity.
- Comply with legal, tax, and regulatory obligations.
AI Processing
How AI is used with your data
RPTrainor uses Anthropic's Claude AI to analyze your financial data and provide intelligent categorization, spending insights, and report generation. When processing your data:
- Transaction and balance data is sent to Anthropic's API solely to deliver the services you requested.
- Anthropic acts as a data processor and does not use your financial data to train AI models.
- Only the minimum data necessary for the specific analysis is transmitted.
- All data is transmitted over encrypted channels (TLS 1.2+).
- You may withdraw consent for AI processing at any time by contacting us.
Service providers
We share data with the following trusted service providers only as needed to deliver and secure your services. We do not sell, rent, or distribute your personal or financial information to third parties.
Plaid Inc.
Secure financial account connectivity and data retrieval. Plaid connects to your financial institutions on your behalf to retrieve account balances and transaction data.
Anthropic (Claude API)
AI-powered data analysis and processing. Transaction data is sent to Anthropic's Claude API for categorization, spending analysis, and report generation. Anthropic acts as a data processor and does not use your data for model training.
Cloudflare
Infrastructure, data storage (D1 database), and application hosting. All data is encrypted at rest and in transit.
Twilio
SMS message delivery for service communications and reports.
Sharing data with your accounting firm
RPTrainor is designed to prepare both you and your accounting or tax preparation professional for advisory meetings. With your consent, reports generated from your financial data may be shared with the accounting or tax preparation firm you designate. You control which firm has access and may revoke this access at any time.
SMS Privacy
SMS opt-in data and third-party sharing
- SMS opt-in begins when you submit an access request on rptrainor.com or by email. RPTrainor does not send SMS to anyone who has not first requested onboarding — no cold or unsolicited SMS is ever sent.
- After your request is approved, you receive a single invitation SMS with a link to an activation page. On that page you must explicitly check an SMS consent box and verify your phone with a one-time code before any further messages are sent. The submitted request, the consent checkbox, and the verification code together constitute affirmative double opt-in.
- SMS opt-in data, including phone numbers and consent records (request timestamp, consent-checkbox timestamp, verification timestamp), is collected solely to deliver service-related messages you have requested.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in consent is not shared with any third party for marketing.
- Twilio is the sole service provider used to deliver your SMS messages and acts as a data processor on RPTrainor's behalf.
- Message frequency is up to 60 messages per month based on account activity. Message and data rates from your mobile carrier may apply.
- You may opt out at any time by replying STOP. Reply HELP for assistance. Opt-out requests are honored immediately.

Data Security
We implement industry-standard security controls. Review our full practices at /security .
Data retention and deletion
- Financial account data is retained only as long as your account is active and your financial accounts remain connected.
- If you disconnect a financial account via Plaid Portal or request deletion, associated data is removed from our systems within 30 days.
- Transaction and balance data is retained for the period necessary to deliver services, generate reports, and satisfy legal or tax obligations.
- De-identified or aggregated data that cannot identify you may be retained for service improvement purposes.
Your rights and choices
You have the right to:
- Access the financial data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data, subject to legal retention requirements.
- Disconnect your financial accounts at any time via Plaid Portal (my.plaid.com) or by contacting us.
- Opt out of SMS communications by replying STOP at any time, or reply HELP for assistance.
- Withdraw consent for AI processing of your financial data.

Changes to this policy
We may update this policy as our services evolve. Material changes will be communicated via email or through your RPTrainor concierge. Continued use of services after updates constitutes acceptance of the revised policy. The effective date at the top of this page indicates when the policy was last updated.
